How do you edit a Crystal report used on an Orbis task?

When you have a Crystal report used in an Orbis task, a copy of the report is actually uploaded into the task itself. This means that the task does not pick up the Crystal report file from a location every time it is run.

It also means that if you edit the original Crystal report file, the changes will not be made on the task.

There are two ways to make changes to a Crystal report on an Orbis task

  • By editing the Crystal report directly through Orbis TaskCentre (this requires Crystal to be installed on the same machine running TaskCentre)

  • By exporting the report, making changes in Crystal separately and then importing the new version back into the task

To edit the Crystal report directly through Orbis:

  1. Log into Orbis TaskCentre

  2. Double click on the relevant task to edit it

  3. Double click on the Crystal report step to edit it

  4. Click Edit Report

  5. Make the changes as required and then save the report

  6. Click OK to save the changes to the step

  7. Click Apply to apply the changes to the task

To edit the Crystal report outside of Orbis:

  1. Log into Orbis TaskCentre

  2. Double click on the relevant task to edit it

  3. Double click on the Crystal report step to edit it

  4. At the top of the window, click Export

  5. Choose a location to save the report to, give the file a name and click Save

  6. Open the saved file in Crystal Designer, make all of the required changes and save the file again

  7. Back in TaskCentre, still on the the Crystal report step of the task, make a note of any parameters on the step and take screenshots of the set up of each of these - this is so you can add them back in later as they will get removed when you import the new Crystal report file

  8. When you are sure you have made a note of ALL the parameter settings, click Import

  9. Select the Crystal report that has been updated - this will completely overwrite all Crystal report settings on the task so be sure before confirming you want to do this

  10. Add the parameters back in as they were before

  11. Add the logon credentials back in as they were before the import

  12. Click OK to save the changes to the step

  13. Click Apply to apply the changes to the task
