This can be done by opening the task in question in TaskCentre and checking the 'Send Message' step.
This will show you who is currently going to receive the email relating to the task. The email addresses that receive the report will depend on how the step has been set to collect the email address. The majority of tasks will use one of two methods for this.
Method One: From a list of email address entered in the step itself.
If this is the case the 'To' field will show a list of email address or people.
Method Two: From criteria collected by the task.
If this is the case, the 'To' section will show code in the 'To' field, such as '{=ThisStep.DocumentSource.RecordSet' - this indicates that the email address to be used is held in the task itself (usually from a view in the associated software, such as FocalPoint).
Adding an Email Address - Method 1
You can add additional email addresses using the following process:
Click on the 'To' button in the 'Send Message (SMTP)' window
This will then show you an email screen where you can add additional email addresses. Either select from the list, or select the 'New' button, and enter the recipient details against the 'To, Cc, or Bcc item, followed by OK.
Note: if you make a mistake, you can remove the email address from the To, Cc or Bcc sections of 'Message Recipients by right clicking the name, followed by 'remove'
Adding an Email Address - Method 2
There are two options for this.
You can have the view that collects that data re-written for you to include additional email addresses (you will need to discuss this with your account manager or CSM).
Alternatively, you can use the steps outlined for method one, above, however, please ensure that you do not remove the '{=ThisStep.DocumentSource....' item from the list, or the task will need to be re-programmed to add this back in.
While you can use the manual method to add another email address, please remember that if you add a manual email address to the task when using method two, the email address that is added will receive all of the reports generated by the task (so if you are using the task to distribute reports to heads of department containing information for only their department) you may wish to have the task itself altered rather than use manual addresses.
